Vendors
Vendors are companies you buy from. The vendor database is shared across procurement, accounts payable, and reporting.
Adding a vendor
- Procurement → Vendors → New vendor.
- Fill in:
- Name, trading name (if different).
- Tax / VAT ID.
- Address, website, primary contact.
- Category — Office Supplies, Travel, IT Services, etc.
- Payment terms — Net 30, Net 60, etc.
- Default currency.
- Save.
Vendor fields explained
- Category drives reporting (spend by category) and routing (different approval flows for different categories).
- Payment terms auto-fill on POs and invoices.
- Default currency is what new POs use unless overridden.
Bulk import
For migrating from a previous system:
- Vendors → Import → Download template.
- Fill in the CSV with your existing vendors.
- Upload, map columns, run.
Vendor portal (Enterprise)
Vendors can be invited to a self-serve portal where they:
- See their POs and goods receipts.
- Submit invoices electronically.
- Update their bank details.
Reduces back-and-forth email; configured under Admin → Vendor Portal.
Vendor scoring
Track quality and timeliness:
- On-time delivery rate — auto-calculated from goods receipts.
- Quality score — manually rated per delivery.
- Pricing competitiveness — compared against quotes.
Surface poorly-rated vendors in reports for re-evaluation.
