Evacuation list
In an emergency, you need to know who's on site immediately. The evacuation list is a one-tap, printable view of every staff member and visitor currently on the premises.
Where to find it
Two ways:
1. The "Evacuate now" button
A red button on the Reception → On-site now page. Tapping it:
- Prints the current list immediately.
- Logs the evacuation event with timestamp.
- Shows the live evacuation board.
2. Mobile app
Safety officers and managers see an Evacuation tile on their app dashboard. One tap → list.
What's on the list
- Staff clocked in (from attendance records).
- Visitors signed in (from reception).
- Contractors with current site access.
For each:
- Full name
- Photo (if available)
- Department / company
- Mobile phone number
Live mode
After triggering evacuation, the system enters Live mode:
- Each name has a Marked safe button.
- Designated marshals tick off people as they confirm at assembly points.
- Anyone not marked safe after 10 minutes appears in red on the dashboard.
Marking safe via SMS
If marshals don't have time to use the app:
- The system can SMS each staff member: "Reply YES if you are safe."
- Replies auto-mark them safe.
Configured under Admin → Reception Desk → SMS provider.
After the evacuation
When everyone is accounted for:
- Click End evacuation on the live board.
- The event is closed and logged.
- A PDF report is generated:
- Time evacuation triggered.
- Time everyone marked safe.
- Anyone unaccounted for.
- The report goes to the safety log permanently.
This is what regulators want to see.
Drills
Run a drill the same way — but tick Drill mode when triggering. Drills:
- Don't actually alert SMS recipients (or do, depending on the drill type).
- Are clearly marked "DRILL" in the report.
