The Document Vault
The Document Vault is the central place for every contract, certificate, policy and file in your organization. Searchable, versioned, with expiry alerts.
What goes in the Vault
- Employee contracts, NDAs, IP agreements
- Vendor contracts and SLAs
- Policies and handbooks
- Certificates (training, licenses, insurance)
- Compliance documents (regulator filings)
- Anything else worth keeping with structure
Adding a document
- Sidebar → Documents → Vault → Upload.
- Drop a file (PDF, image, Office document).
- Set:
- Title — what it's called.
- Category — Contracts, Policies, Certificates, etc.
- Linked to — Employee / Vendor / Project / Asset (optional but recommended).
- Expiry date — for things that need renewal.
- Save.
Search
The Vault search is fast and full-text:
- File name, title, category
- Inside scanned PDFs — OCR is run on every upload
- Linked entity (find every document about Acme Corp)
Permissions
Each document has visibility:
- Public to org — anyone can read.
- Department only — limited to one department.
- HR only — sensitive HR documents.
- Owner only + named users — most restricted.
Versions
Re-uploading a file with the same title prompts: Replace as new version? Pick yes to keep the history; no to upload as a separate document.
