Delegating approvals
When you're on holiday or out for the day, your approvals don't have to stall. Delegation lets you hand off your approval queue to someone else temporarily.
Setting a delegate
- Click your profile avatar (top-right) → My settings → Delegations.
- Click New delegation.
- Pick:
- Delegate to — the person who will approve on your behalf.
- From / To dates — the period of delegation.
- Scope — All approvals / Only specific types (Leave only, Expenses only, etc.).
- Save.
What happens during the delegation
- New requests that would have gone to you are routed to your delegate.
- Both you and the delegate appear as approvers in the request's history.
- When you sign in, you can still see and act on those requests — delegation isn't exclusive.
When the delegation ends
On the end date:
- New requests stop routing to the delegate.
- Anything still in their queue stays with them until they decide to approve, reject or push it back to you.
Delegating individual requests
Sometimes you want to delegate one specific approval, not your whole queue:
- Open the request in the Approval Center.
- Click Delegate this request in the action menu.
- Pick a person and add an optional note ("Out for the afternoon, please cover").
Auto-delegation rules (Enterprise)
Admins can pre-configure rules that auto-set delegations:
- "When [Manager X] is on approved leave, route their approvals to [Senior Manager Y]."
This means even if a manager forgets to set up their delegation before going on holiday, the system catches it automatically.
Configured under Admin → Approval Workflows → Auto-delegation.
Audit trail
Every delegated approval shows the chain in the activity log: "Approved by [Delegate] on behalf of [Original approver]". This is critical for compliance audits.
