Assign an asset

Assigning an asset records that a specific employee has it — for return tracking, depreciation, and audits.

Assigning

  1. Open the asset.
  2. Click Assign to employee.
  3. Pick the employee.
  4. Set:
    • Issued date — typically today.
    • Expected return date — for time-bound loans (laptops to interns, equipment for projects).
    • Notes — condition at issue, accessories included.
  5. Save.

The asset's status changes to Assigned and shows the assignee's name.

On the employee's side

The employee sees:

  • The asset in their Employee Portal → My Assets.
  • A reminder to acknowledge receipt (digital signature).

Returning an asset

When the asset comes back:

  1. Open the asset (or scan the QR).
  2. Click Mark returned.
  3. Set:
    • Return date.
    • Condition on return — Excellent / Good / Damaged.
    • Damage notes if applicable.
  4. Save.

The asset's status returns to Available.

Asset history

Every asset shows a full history:

  • Date assigned, to whom.
  • Date returned, condition.
  • Maintenance events.
  • Repairs and refurbishments.

Useful when the same laptop has gone through 4 different employees over 5 years.

When an employee leaves

Offboarding workflows can include "Return all assigned assets":

  1. The system lists every asset still with that employee.
  2. Each must be confirmed returned before offboarding can complete.

This prevents missing equipment.

Bulk assignments

For onboarding waves (e.g. 10 new interns getting laptops):

  1. Assets → Available laptops — filter the list.
  2. Select rows.
  3. Bulk action → Assign.
  4. Pick the employees and tick "match in order".
