Employee contracts

Every employee can have multiple contracts attached to their record — current employment terms, NDAs, IP agreements, role changes over time. Contracts live in the Document Vault but are linked back to the employee for fast access.

Where contracts live

Open an employee record. The Contracts tab shows all documents tagged as contracts for that person.

Adding a contract

  1. Open the employee.
  2. Go to the Contracts tab.
  3. Click Upload contract.
  4. Choose:
    • Type — Employment, NDA, IP Assignment, Promotion, Amendment.
    • Effective from / Effective until — dates.
    • File — PDF.
  5. Save.

Expiry alerts

If you set an Effective until date, the system tracks it. Reminders fire:

  • 30 days before — to the employee's manager
  • 7 days before — to the manager and HR
  • On the day — to the manager, HR and the employee

This is the same engine that powers the Compliance Calendar.

Sending for signature

Need a new contract signed? Click Send for signature on any uploaded contract. The platform's Document Signing flow lets the employee sign in-app and stores a tamper-evident audit trail.

OCR search

The Document Vault runs OCR on every PDF you upload. Search across contracts by:

  • Vendor name
  • Salary amount
  • Specific clauses

Even scans of old paper contracts become searchable.
