Reception desk
Reception Desk is the front-of-house module — sign-in for visitors, contractors and deliveries.
Setting up reception
Under Admin → Reception Desk → Settings:
- Active locations — which sites use the reception desk.
- Required fields — name, company, host, NDA, photo, ID document.
- Self-service kiosk? — turn on a tablet self-service mode.
- Badge printing — connect a label printer.
- Host notification — email / SMS when their visitor arrives.
Signing in a visitor (staffed reception)
The receptionist:
- Reception → Sign in visitor.
- Picks Visitor or Contractor — different fields apply.
- Fills in: name, company, phone, email.
- Picks the host employee — auto-emails them.
- Optionally: requires the visitor to digitally sign an NDA before printing badge.
- Prints the badge.
The visitor is now on the On-site list.
Self-service kiosk
For unstaffed locations:
- Tablet at reception runs the kiosk view.
- Visitor taps Sign in.
- Enters their details on-screen.
- Signs the NDA (if required).
- Selects the host from a search.
- Takes a photo (camera enabled on kiosk).
- Badge prints automatically.
The host gets an SMS / email and comes to fetch them.
Pre-registration
For known visitors:
- The host pre-registers them in advance.
- They receive a QR code by email.
- On arrival, they scan the QR at the kiosk — sign-in is one tap.
On-site list
At any time, Reception → On-site now shows everyone:
- Currently signed in.
- Their photo (if captured).
- Their host.
- The time they've been on-site.
Signing out
When the visitor leaves:
- The receptionist clicks Sign out, OR
- The visitor scans their QR badge at the kiosk on the way out.
The on-site list updates immediately.
